UWE Bristol’s International College

The College is operated in partnership with the UWE, Bristol, located on the University’s main campus and offers programmes designed to prepare international students for entry to UWE, Bristol. The first students were admitted to the College in September 2012. 


About the role 

As a College Services Administrator, you will be primarily responsible for providing information, advice, guidance and support to the students of the college in line with UKVI and company policy. Your work will cover all aspects of the student lifecycle, from registration, attendance, through assessment and examination, to completion and progression to University level study.


Your main responsibilities:

  • To be the main college point of contact for Kaplan Central Accommodation Team (CAT) and our accommodation partners
  • Establishing and maintaining good working relationships with accommodation providers
  • To manage the system of regular accommodation inspections to ensure that the service delivered is that which has been contracted; providers operate within our Service Level Agreements and maintain standard Healthy and Safety requirements
  • Develop and maintain up-to-date knowledge of the local student accommodation market and availability
  • Develop and maintain a consistent communication with College staff regarding accommodation issues affecting students and the impact this may have on student welfare and studies
  • Production and distribution of pre-arrival material for students
  • Dealing with arrival and accommodation-related inquiries and welfare issues on a day-to-day basis
  • Managing arrivals requests, airport collections and ‘meet and greet’ service
  • Coordinating the delivery of the College’s 24/7 arrival phone line in operation during peak arrival periods
  • Co-ordination of local delivery and distribution of Welcome boxes
  • To advise relevant colleagues on withdrawals, transfers or deferrals as required
  • Supporting students with accommodation deposits queries
  • Produce and analyse student data as requested

• Auditing, reporting and collecting data from students to ensure student records are maintained in accordance with UKVI guidelines

  • Health and Safety inspections, reporting and resolving as required
  • Any other duties as required from time to time by the by the Head of College Services or College Director


Your responsibilities within the College Services Team will also include:

  • Dealing with enquiries from students and staff in person at the College reception and by phone and email in accordance with college policy
  • Liaise with UWE Admissions Team regarding enrolment and progression to UWE
  • Prioritising and delegating student enquiries to colleagues as appropriate
  • Participate in pre-arrival and induction week preparation for new intakes
  • Contributing to the development and delivery of induction programmes
  • Supporting activities related to welfare/pastoral support
  • Supporting colleagues to implement the College attendance policy
  • Attending meetings and minute taking when required


About you:

To be successful in the role, you'll have the following:

  • The ability to demonstrate a strong interest and/or experience of working with international students and a commitment to enhancing their experience;
  • Strong and proven commitment to a customer service and teamwork ethos
  • Excellent interpersonal, written and verbal communication skills, including a strong grasp of formal writing for reports/official correspondence
  • Excellent organisational skills
  • Excellent IT skills, including experience working with spread sheets and databases
  • Excellent attention to detail and experience working with a high degree of accuracy
  • A good understanding of UK further and higher education
  • Willingness to work flexibly and to tight deadlines when necessary


Also desirable would be:

  • Administrative experience in the education sector
  • A UK Undergraduate degree or equivalent or substantial professional experience gained through working in a responsible customer-facing role
  • An understanding of best practice when working with under 18s
